A useful aim is a setup you understand and can change, with ownership and access agreed before work starts. Why the Hampshire context still matters for a remote service
Because sessions are remote, it makes no difference whether you trade from Hayling Island or Romsey. Where your town does matter is in the material you bring. Customers search with their own place names in mind, so a coach can only help you sharpen your Google presence if you can say which of your towns generate work and which you only claim to cover.
Bring these five things to the first session
- A tally of repeat tasks. For one week, mark every time you retype something: a quote reply, a booking confirmation, an invoice chase. Even a pencil tally on a pad is enough.
- Ten real enquiries with names, numbers and addresses removed. They show what people actually ask, which is rarely what your website assumes.
- Your Google Business Profile as a stranger sees it, plus a list of questions customers ask that the profile does not answer.
- A list of the accounts you own outright, and the ones that belong to your web designer, accountant or a former employee. You cannot implement what you cannot log in to.
- One sentence on what growth means for you this quarter: more calls from one particular town, more repeat work, or fewer missed appointments.
Worked example: a fictional sole-trader plumber
Fictional example. Names and messages are invented.
Everything in this example is invented. Imagine "Harbour Test Plumbing", one person, whose week is eaten by replying to the same questions.
Fictional inbound message: "Hi, tap dripping in the kitchen and the stopcock won't turn. Can someone come this week? Thanks, Sam."
- Step 1: the owner pastes the message, without Sam's contact details, into an AI assistant along with three of their own past replies so the draft sounds like them.
- Step 2: the assistant drafts a reply asking for a photo of the stopcock, the postcode area, and whether water can be turned off at the main.
- Step 3: the owner reads it, changes anything that sounds unlike them, and sends it themselves.
- Step 4: the owner saves the improved reply as a reusable template for the next dripping-tap message.
Checks that stay with a human
- Prices, availability and promises of any kind: the draft may suggest them, only you decide.
- Anything about safety, such as gas, electrics or structural work. The assistant should only ask questions, not advise.
- The final read of every message before it goes out, at least until you have checked a good run of drafts and agree they are reliable.
- Personal details: decide in advance what you will never paste in, and write it down.
Acceptance checklist for the end of the coaching
- You can repeat the main workflow without anyone beside you.
- You know which accounts and settings it touches, and you hold the logins.
- There is a written list of what the assistant must not do.
- You have a template library of at least five replies you have edited yourself.
- You have tried the documented switch-off method and can carry on by hand.
How to measure whether it is working
Record a baseline before the first session, then the same numbers weekly for four weeks: minutes per week you spend on repeat admin (time it, don't guess), how long enquiries wait for a first reply, how many Google profile questions you have now answered, and which towns your new enquiries come from. After four weeks, keep what moved the numbers and drop what did not. Treat the figures as your own evidence; no outcome is promised.
